Business Support Manager

Role Purpose The Business Support Manager works directly with the CEO to coordinate cross-departmental projects, track execution against deadlines, and ensure the CEO has accurate, timely information to make decisions. This role acts as the operational backbone of the executive office ,turning strategic priorities into coordinated action across departments. Key Responsibilities Coordinate and track multiple concurrent projects across departments, ensuring deadlines, deliverables, and dependencies are managed proactively. Serve as a central point of coordination between the CEO's office and department heads, following up on action items and commitments. Prepare accurate, well-structured management reports, dashboards, and briefing materials for the CEO and leadership team. Build and maintain project trackers, timelines, and status reports; flag risks and delays before they become problems. Support the CEO in preparing for meetings, including agendas, presentations, and follow-up documentation. Coordinate logistics and information flow for cross-functional initiatives, working with finance, operations, and other departments as needed. Maintain confidentiality and exercise sound judgment when handling sensitive business information. Take on ad hoc strategic projects and analyses as directed by the CEO. Essential Requirements Bachelor's degree in Business Administration, Engineering, Project Management, or a related field. Minimum 7 years' professional experience. Minimum 3 years in business operations, project coordination, PMO, executive office support, or operations management. Demonstrated experience coordinating multiple departments or workstreams simultaneously. Proven experience preparing management reports and executive-level communications. Strong project tracking and organizational skills, with high attention to detail. Advanced proficiency in Excel and PowerPoint. Excellent written and verbal communication skills. Ability to work independently, manage competing priorities, and operate with discretion. Preferred Qualifications Background in engineering, oil & gas, construction, infrastructure, logistics, or manufacturing sectors. Prior experience working directly with executive leadership (CEO, MD, or C-suite). Experience with project management software (e.g., MS Project, Asana, Monday.com, Trello). Project management certification (PMP, PRINCE2, or equivalent) is an advantage.
