Materials Coordinator

Job Title: Materials Coordinator Location: Kampala, Uganda. Mobilized to Albert Lake, construction sites, or other cities if required. Primary function: • Ensure the timely, accurate, compliant, and cost-effective provision of materials, spare parts, and tools essential to oilfield operations; strengthen adherence to materials management procedures and controls; minimize material losses, excess stock, and associated risks; and ensure safe, reliable, and uninterrupted material support for efficient and continuous production. Responsibilities: • Receive and verify materials against approved contracts, purchase orders, delivery notes, specifications, quantities, and quality requirements. • Coordinate third-party inspection and testing where contractually or technically required. • Record and document material acceptance results accurately and promptly, supported by photographic, inspection, or other appropriate evidence. • Identify and report discrepancies, damages, quality issues, or non-conformities arising during material receipt and acceptance. • Ensure proper classification, zoning, segregation, labeling, and storage of materials within designated warehouse areas. • Implement appropriate storage, handling, and preservation requirements for oil products, chemicals, hazardous materials, and other special-category materials. • Conduct regular warehouse inspections to ensure proper storage conditions and promptly identify and report safety, security, or preservation risks. • Maintain effective custody and control of materials to minimize damage, deterioration, loss, or unauthorized access. • Issue materials strictly in accordance with approved requisition and authorization procedures, ensuring complete and accurate supporting documentation. • Inspect, verify, and register returned materials before determining their suitability for restocking or further disposition. • Ensure that no materials are issued without the required authorization and supporting documentation. • Maintain accurate records of all material issues, returns, and related transactions. • Maintain accurate inventory records and ensure consistency among material ledgers, stock cards, physical stock, and ERP/Materials Management System records. • Conduct periodic stocktaking and reconciliation exercises and prepare inventory analysis reports. • Identify and promptly report stock shortages, surpluses, obsolete, excess, and slow-moving materials. • Recommend appropriate stock levels and replenishment requirements based on operational needs and inventory trends. • Support inventory optimization initiatives to ensure availability of critical materials while minimizing excess stock. • Accurately input, update, and maintain material information in the ERP/Materials Management System. • Safeguard original material management documents, including receiving notes, issue notes, return notes, inspection reports, and other relevant records. • Ensure the authenticity, accuracy, integrity, completeness, and traceability of material management records. • Maintain proper filing and retrieval systems to support operational requirements, audits, and management reporting. • Monitor material consumption and implement measures to minimize waste, damage, losses, and unnecessary consumption. • Support the recovery, recycling, reutilization, and appropriate disposal of scrap and surplus materials. • Provide accurate material consumption and usage data to support cost accounting, budgeting, cost control, and savings analysis. • Identify opportunities to improve material utilization, inventory efficiency, and cost effectiveness. • Strictly comply with Company HSE policies, procedures, material management standards, and applicable operational requirements. • Ensure compliance with applicable national laws, regulations, and standards governing the storage, handling, and management of hazardous materials and special equipment. • Ensure warehouse fire-fighting equipment, ventilation, lighting, and other essential safety facilities are maintained in safe and serviceable condition. • Promptly report and support the resolution of unsafe conditions, incidents, and material management-related HSE risks. • Promote a safe, orderly, and compliant warehouse environment. • Maintain effective coordination and communication with Production, Maintenance, Procurement, Finance, and other relevant departments on material requirements and inventory matters. • Participate in materials planning, demand forecasting, and emergency supply arrangements to support uninterrupted operations. • Provide timely information on material availability, consumption, shortages, and other inventory matters to relevant stakeholders. • Support audits, inspections, and verification exercises conducted by government authorities, internal auditors, external auditors, or Company management. • Perform other duties assigned by the Supervisors. Requirements: • Bachelor’s degree in procurement and supply chain management, Petroleum Engineering, Accounting, or any related field. • At least 4 years of related work experience in warehouse or material management; oil & gas industry experience is preferred. Knowledge: • Familiar with oilfield materials classification and management standards. • Proficient in ERP/SAP or material management software. • Basic knowledge of finance and reporting. • Understanding of hazardous goods management and safety procedures. • Excellent analytical and problem-solving ability. • Good command of both written and spoken English.
